EVENT PROJECT MANAGER
I am responsible for planning, organizing and managing the event, ensuring that everything is coordinated on time, on budget and according to the client's expectations. My main tasks are PLANNING / Needs Analysis: Understand the client or organization's goals and requirements. Project Creation: Develop a detailed plan that includes budget, timelines, goals and delivery. Resource Identification: Define and assign roles within the team and identify necessary suppliers, partners or collaborators. BUDGET MANAGEMENT / Budget Development: Determine estimated costs and monitor expenses to ensure the project stays within budget. Contracting and Negotiation: Manage contracts with suppliers, venues and other partners to optimize costs. OPERATIONAL COORINATION / Logistics Planning: Organize venues, transportation, set-ups, technical equipment and catering. Supplier Supervision: Monitor suppliers to ensure they meet agreed timeframes and specifications. Team Management: Coordinate the personnel involved in the event (technicians, security personnel, entertainers, etc.). COMMUNICATION / Client Interface: Maintain constant contact with the client to provide updates and receive feedback. Stakeholder Management: Coordinate communication with stakeholders, sponsors and partners. TROUBLE SHOOTING AND MONITORING / Risk Management: Anticipate and address any unforeseen events or problems, such as delays, technical malfunctions or schedule changes. Problem Solving: Act promptly to resolve critical situations without compromising the success of the event. EVENT SUPERVISION / Presence during the event: Monitor that all activities are carried out as planned and intervene if necessary. Real-time incident management: Ensure that the event runs smoothly, ensuring the satisfaction of all participants. POST-EVENT EVALUATION / Results Analysis: Evaluate the success of the event based on the objectives set and participant feedback. Final Report: Create a detailed report that includes data, results, and recommendations for future events. Closing Management: Ensure all vendors are paid and all administrative matters are completed.
